Welcome to information for exchange students
and scholars coming to study and/or conduct research at Emory University
through existing agreements between YOUR university and Emory University!

and arrival information, and other provisions.

Your university has nominated YOU for your exciting stay at Emory
University. Congratulations! If you have not been nomiated by your university
at this time, please contact the respective office at your home university
in order to discuss the application procedures. The current application
forms are available from your home campus advisor.
The home instituion office will send the application form and all other pieces
of information to the Center for International Programs Abroad (CIPA). The
CIPA office, in conjunction with the International
Student and Scholar Programs (ISSP), will serve as your welcoming, informing,
advising and immigration-related points of service. It is important that the
deadlines for the receipt of the application be met so that there is enough
time for Emory to process your application and generate the necessary visa-eligibility
papers (see information below) so that you can apply for a visa in your home
country. It also is important that all parts of the application are complete.
IT IS OF CRITICAL IMPORTANCE THAT YOU INDICATE A VALID EMAIL ADDRESS THAT
YOU REGULARLY USE AND WHICH WILL REMAIN CURRENT UNTIL AT LEAST UNTIL 2 WEEKS
AFTER YOUR ARRIVAL AT EMORY. THIS WILL BE THE PRIMARY MEANS OF COMMUNICATING
WITH YOU AND YOU ARE KINDLY ASKED TO REGULARLY CHECK YOUR EMAILS AND RESPOND
TO ANY QUESTIONS. IF YOU ARE NOT ABLE TO EFFECTIVELY COMMUNICATE VIA EMAIL,
PLEASE INDICATE ON THE APPLICATION FORM WHAT WOULD BE THE BEST WAY TO COMMUNICATE
WITH YOU.
Upon receipt of the application, you will be notified that it has arrived.
After processing it in the CIPA office, it will be sent to the ISSP office
where the DS-2019 will
be generated. The DS-2019 is the form with which you will later apply for
a J-1
visa. The DS-2019 and the Letter of Admission will be express mailed to
you. It is critical that the address AND TELEPHONE NUMBER you indicate on
your application are correct and current; otherwise the documents might not
reach you in time and this may cause delays in obtaining the visa.
In the time between sending off the application and you receiving the visa-relevant
documents, you should look into the following topics: (a) Where is the US
Embassy that is in charge of your location? Go to their website and make sure
that you are aware of all procedures in applying for a visa: you might need
to schedule an interview appointment (please contact the CIPA office to inquire
when app. you will have the relevant documents in your hands); you might need
to provide additional information such as bank statements or health certificates.
Start collecting all relevant documents.
(b) Is your passport valid for at least 6 months AFTER the expected return
from the US to your home country?
(c) Start looking into flight options and prices, and plan accordingly. Do
not book your flight before you have received your visa. And keep in mind
that there might be mandatory orientation sessions that you will need to attend
upon arrival on Emorys campus (see Orientation).
(d) Make sure that you have talked to the faculty members on your campus to
make sure that you are clear about transfer of credit, mandatory classes (see
next point!!) and classes you are not allowed to take. Or that you are aware
of the research expectations and timelines your faculty advisors might have.
(e) Look at the course atlas (see details under: Undergraduate and Graduate)
to determine which classes you would be interested in taking. Please be aware
that auditing classes is not usual in the US and is only very rarely possible.
And please keep in mind that there never is a guarantee that you will be able
to take the classes you choose. CIPA will assist you in finding them as much
as we can, but again: it cannot be guaranteed.
(f) Most of you will be required to carry health insurance during the time
of your stay here (see details in your respective section). And health insurance
is expensive! So are doctors visits and any kind of operations you MIGHT have!
So it pays off to find out whether you can find a local insurance in your
country that would cover you in the US.
(g) Last but not least: start reading about the US, the South, Atlanta and Emory
University. You might discover how many very interesting features of
life in the US found their origin in the South and make this part of the
US special and a remarkable door into US culture!
(g) Banking options: you can use ATM cards everywhere in the US; credit cards
of course are just as common; you cannot use your banks checks. If you will
be here for a longer period of time, you will open a bank account in Atlanta.
Be aware that there is no Citibank in Atlanta so there is no use opening a
Citibank account in your home country with the sole intention of using it
in the US.
Once you receive the DS-2019 and the Letter of Admission, you should apply
for the visa, then book your flight and please inform the CIPA office of your
arrival information: Flight company, number, where from does the flight depart,
day, arrival time.
We will aim at picking you up at the airport and taking you to your accommodation;
if that is occasionally not possible, we will give you detailed instructions
on how to take a cab from the airport to your final destination.
IF you arrive after 5pm in the evening, you MIGHT not be able to check into
Emory University housing so please aim at making alternative
hotel arrangements for the first night. CIPA would be happy to assist
you with that. Please keep in mind that arrivals in August will encounter
booked-out hotels: it is the time when US students come back to campus and
they often are accompanied by family!
The housing situation will depend on whether you are an undergraduate, graduate
student or scholar. So please consult the respective paragraph.
You have your visa, youve booked your flight, you know where you will be staying
it is time to pack and become increasingly nervous! That is good you will
later fondly look back at those butterflies in your stomach and think: Had
I known everything I know now. Not everything can be planned and just expect
a couple of unexpected things!
Once you have arrived on campus, there will be a variety of orientation and
immigration-related activities that you will be asked to participate in; this
again depends on your status as student or scholar, so please see details
in your section.

Undergraduate Students

1. Academics and Immigration
Familiarize yourself with the departments on
campus, the course
atlas and academics
in general. At some point, you will receive an email from the CIPA office,
asking you to send a list of classes you are interested in. CIPA will register
you for 4 classes, carrying 4 credits each (exception: PE classes). You are
required to be enrolled for 4 classes in order to maintain your legal immigrations
status as student. You will theoretically have the chance to make changes
to some of the classes upon arrival at Emory please be aware that many classes
will be full then and a change might not be possible. So academic flexibility
will also be asked of you. Please be aware that you may NOT take classes at
the Business School.
2. Housing
You will be housed in the SPICE House.
Everyone has to complete an on-line application. You can access the application by going to the housing website - www.emory.edu/housing - and clicking on Apply for Undergraduate Housing. You can then log in and complete the application. You will be sent the log in information in an email after you have been admitted.

Former exchange students have found a warm home, an interesting group of people and life-long friends there! CIPA will initiate the housing procedure and at some point, you will receive an email from the SPICE house coordinator, asking you to submit additional information. PLEASE NOTE: housing can be paid in 2 ways:
a) by wire transfer when you are still back home
b) in cash (NOT BY CREDIT CARD OR YOUR PERSONAL DOMESTIC CHECKS). Best thing is to bring along Travelers Cheques and cash them as needed.
PLEASE NOTE: THE SPICE HOUSE IS CLOSED OVER WINTER AND SUMMER BREAK.
3. Health Insurance
You are required to carry the Emory University Health Insurance that you will automatically be enrolled in.
You will be billed for the insurance; see current rates here.
4. Orientation
There is an orientation for international students that is organized by the
ISSP office some sessions are mandatory (information on your immigration status,
how to maintain it and which violations there are), some others we would strongly
advise you attend (how do things work in the US classroom, how to make friends
with US students, ) and that is going to be THE best time to meet other international
students who are just as afraid as you and with whom you might end up spending
a lot of time! Please see details here link.
Graduate Students

1. Academics and Immigration
Familiarize yourself with the graduate
departments on campus and their course atlases. At some point, you
will receive an email from the CIPA office, putting you in touch with a
faculty member of the department that is going to be your major department
for the time you are at Emory. This faculty member has kindly agreed to
be your advisor the two of you will communicate via email to determine
the classes you will be taking. The departments will register you for 3
classes you will need to maintain that enrollment in order to maintain
your legal immigration status as a student; they will also start communicating
with you about inner-departmental orientation and other activities. Please
be aware that you may NOT take classes at the Business School. Graduate
students have the option to attend English
language classes.
2. Housing
You will be housed on the Clairmont Campus.
Everyone has to complete an on-line application. You can access the application by going to the housing website - www.emory.edu/housing - and clicking on Apply for Graduate Housing. You can then log in and complete the application. You will be sent the log in information in an email after you have been admitted.

Or you may choose to live in other University Housing. In that case, you will be sent necessary usernames and passwords after you have been accepted and will proceed to sign up for housing online and on your own.
3. Health Insurance
You are required to carry the Emory University Health Insurance that you will automatically be enrolled in.
Emory University will cover 50%, you will be biiled for the rest; see current rates here.
4. Orientation
There is an orientation for international students, both graduate and undergraduate,
that is organized by the ISSP office some sessions are mandatory (information
on your immigration status, how to maintain it and which violations there
are), some others we would strongly advise you attend (how do things work
in the US classroom, how to make friends with US students, ) and that is going
to be THE best time to meet other international students who are just as afraid
as you and with whom you might end up spending a lot of time! Please see details
here. Your department will also have orientation activities so you will have
to juggle attendance at both!
Scholars

1. Academics/Research
Upon arrival, you will receive a library access card. Any other arrangements
(occasional auditing of classes, etc) will have to be arranged on an individual
basis. CIPA will be happy to assist with that. If you need English
language courses here is a list of resources in Atlanta.
2. Housing
You should take advantage of a special arrangement between CIPA and the Graduate
Housing Campus, and choose to live there. If you choose that, you will
be living in a furnished apartment with 2 bedrooms, each with their own
bathroom, a kitchen, a dining room and a living room. There will be another
graduate student/scholar with whom you will share the apartment and the
costs! If you choose that option, please let CIPA know and it will be arranged
for you.
The other alternative is housing off campus: please be aware that it may seem
tempting to search for housing off-campus housing since it will it most cases
be less expensive. BUT it is difficult to make those arrangements from overseas.
It will be difficult to arrange that for a short period of time and lastly,
Atlantas public transport system is not very functional. So only in rare cases
can one depend on public transportation. Because of distances, walking also
rarely is possible. And biking is dangerous because Atlanta drivers are not
used to bikers on the road and drive accordingly. If you still want to try
it: here is a good
website to start looking. Unfortunately, CIPA will not be able to assist
you in finding off-campus housing.
3. Health Insurance
Scholars are required to carry health
insurance see details here. Please contact the ISSP office with questions.
4. Orientation
Upon arrival, you will attend a 1,5 hour scholars orientation at the ISSP
office. You will receive valuable information on maintaining your legal immigration
status as a scholar, and many other important pieces of information.
